Book Your Business Optimisation Review, CloudCEO
Melbourne business advisory for service businesses

Your business has grown. Have your systems?

The Business Optimisation Review is a working session for owners and directors of service businesses that are still running on processes built for a smaller version of the business. We work through five areas together, show you what the current setup is costing you in time, money and customers, and hand you a prioritised roadmap to fix it.

It starts before we meet. You complete a short intake form, and we research your online presence and the competitors you named. So the session opens with findings, not with us asking you to explain your own business for twenty minutes.

Delivered online. Written blueprint follows. The $997 comes off the cost of any work we go on to do together.

The problem

The business grew. What sits underneath it never caught up.

Most owners can feel that things could run better. What they cannot pinpoint is exactly where, what it is costing, and which fix is worth doing first. So it stays on the list. And every month it stays there has a number attached to it.

Time

Your team retyping information that already exists somewhere else. You being the one everything waits on, because you are the only one who knows how it should go.

Money

Software nobody opens. Admin hours nobody costed. Follow-up nobody owns. None of it ever shows up on the P&L as a problem.

Customers

The quote that went quiet. The call that rang out at four o'clock. The client of six years who left without ever once complaining.

Individually, none of these look like much. A few enquiries that went cold. An hour here. A subscription nobody cancelled. Added up across a business turning over a million or more, the gaps we find commonly run into tens of thousands a month. Owners are rarely shocked by any single one of them. They are usually shocked by the total.

How we work

Diagnose first. Prescribe second.

We do not walk into a business with the prescription already written. We understand the symptoms, identify what is actually causing the problem, then prescribe the right solution.

Sometimes that is AI. Sometimes it is a better system. Sometimes it is a change to how something is done that costs nothing at all. Plenty of firms turn up with the answer already decided and spend the meeting fitting your business to it. That is how businesses end up paying for software that solved a problem they did not have.

What we review

Five areas where service businesses quietly lose money.

Each area opens with what good actually looks like for a business like yours, because it is hard to notice what is missing when you have never seen the alternative. Then we work out where you sit against it.

Area one

Visibility and online presence

How easily someone finds you, and what they make of you when they do. Your search presence and Google Business Profile, your website, your reviews, your social profiles, and how all of it compares to the competitors you named. Most buyers have formed an opinion about you before you know they exist.

What good looks like

You show up when someone is looking for what you do. Reviews arrive steadily without anyone having to ask. And everything a buyer finds looks like the same business, current and consistent, rather than a website from 2019 and a social account that stopped in March.

Area two

Sales, marketing and quoting

Everything between a first enquiry and a signed client. Where new work comes from, how fast enquiries and calls actually get answered, how quotes and proposals get built and sent, what happens when one goes quiet, and whether anyone can see what is sitting in the pipeline and what it is worth.

What good looks like

Every enquiry gets a response in minutes, regardless of who is free. Quotes and proposals go out the same day, not when someone finds a gap. Follow-up happens whether or not anybody remembers. And you can see every open opportunity and its value without asking three people.

Area three

Customer experience

What it is genuinely like to deal with you. Both as a brand new client and as the one who has been with you for eight years. How people are brought on board, how they are kept in the loop while work is happening, what happens once it is finished, and who is responsible for the relationship after that.

What good looks like

Nobody has to chase you for an update. The experience is the same whoever happens to handle it. And your long-standing clients hear from you because it is built into how you operate, not because something went wrong or a renewal came up.

Area four

Operations

How work actually moves through the business. Capacity and scheduling, handovers between people and teams, what gets recorded and where, invoicing and getting paid on time, the reporting you actually rely on, and the tasks that only work because one person carries them in their head.

What good looks like

Work moves without being chased. Nothing delivered goes unbilled. The numbers you need are there without someone rebuilding a spreadsheet each month. And the business still runs properly the week a key person is away.

Area five

Systems and working with AI

The tools you pay for, what they were bought to do, and what they actually do. Where the same information gets entered twice, where systems do not talk to each other, what you are subscribed to that nobody opens, and where AI genuinely earns its place against where it would just be an expensive layer sitting on top of a broken process. We are advocates for AI and we are just as willing to tell you the answer is a process change instead.

What good looks like

One source of truth. Tools that pass information between each other. Nobody typing the same client details into three places. And a setup that is ready for AI to take over a slice of the work when the time is right, rather than needing to be pulled apart and rebuilt first.

Examples

The kind of thing we find, and what gets built to fix it.

Your findings will be your own. These are typical of what surfaces in a review, and what the fix looks like in practice.

Visibility

A half-finished Google Business Profile, eleven reviews with the most recent one two years old, and a social account that stopped posting in March. The nearest competitor sits on 180 reviews.

Profile rebuilt properly, then an automated review request that fires the moment work is marked complete, with a reminder if it goes unanswered. The reviews start arriving without anyone having to remember to ask.

Front desk

Calls going to voicemail while everyone is heads-down, and enquiries landing after five o'clock that sit untouched until the next morning. By then the caller has moved to the next name on the list.

An AI receptionist that answers in seconds at any hour, captures what the enquiry is about and books it straight into the calendar, with an instant text back covering anything that still slips past. A seven o'clock enquiry is still a live enquiry at eight the next morning.

Sales and quoting

Quotes and proposals go out and nothing happens next. A quiet one gets written off as lost, and nobody could say what was actually sitting in the pipeline this month or what it was worth.

Automatic follow-up across email and SMS at day two, five and ten, and a live pipeline so every open quote is visible with a value against it instead of sitting in someone's sent folder.

Customer experience

Real effort going into winning new clients and almost none going into the ones who have been there five years. Contact only happens when something goes wrong or an invoice is queried.

A defined handover once work is finished, a scheduled check-in rhythm for existing clients, and a simple view of who has not heard from you lately, so relationships get attention before they cool off.

Operations

Work completed and signed off, then never invoiced. Nobody knew until somebody went looking, and by then it was months of revenue sitting in the system unbilled.

An automated weekly cross-check between the job management system and the accounting file that flags every completed job with no invoice against it. The leak gets caught in days instead of quarters.

Systems and AI

Five tools, none of them talking to each other, and the same client details being typed in three separate times. Two of the subscriptions were being paid for and barely opened.

One source of truth, the tools connected so information flows once, the dead subscriptions cut, and the repetitive entry handed to automation. Built so AI can pick up part of the workload later without starting over.

What to expect

How it works.

STEP 01

Book and complete your intake

A short form covering your business model, team, tools, goals and the competitors you measure yourself against. A few minutes of your time, and it makes the session sharper.

STEP 02

We research before we meet

We audit your online presence and look properly at the competitors you named. You are not paying us to ask questions we could have answered ourselves beforehand.

STEP 03

The working session

Online, working through all five areas. We open each one with what good looks like, then map where you sit against it. Direct, welcoming, and no judgement about how things ended up this way.

STEP 04

Your Optimisation Blueprint

Delivered after the session. Quick wins first, then the bigger builds, prioritised by impact. Run it yourself, or have us build it and the $997 comes off the cost.

What you walk away with

A straight answer on what your business actually needs.

No jargon, no upsell, no chasing whatever is trending this quarter.

Clarity on what it is costing

You leave knowing where the business is losing time, money and customers, and roughly what each of those is worth a month. No more "we should look into that" sitting on the list with no number against it.

AI where it fits, not by default

Plenty of firms sell AI for everything. We are advocates for it and we will still tell you when the right answer is a better system or a simpler process.

A blueprint you own

A prioritised roadmap that is yours regardless of what happens next. Run it in-house at your own pace, or have us build it. No strings on it either way.

Who you are sitting with

Someone who has actually run one.

Founder, CloudCEO

Twenty years of running small businesses across retail, cleaning and consulting. Not twenty years of advising them from the outside. I have done the hiring, the quoting, the chasing of unpaid invoices and the four o'clock scramble when someone calls in sick.

I still run a service business today alongside CloudCEO, which means every system I recommend is one I have either built for my own business or built for a client and watched work. When I say a fix is worth doing, it is because I know what it costs to not do it.

That is also why the review is a diagnosis rather than a pitch. I have been sold the software that was going to change everything, by people who had never run a business. It did not change everything.

FAQ

Frequently asked questions

Is this a sales pitch in disguise? +
No. It is a paid, working diagnostic, and the written blueprint is yours either way. If we are not the right people to build it, you still leave with the plan and you are free to take it anywhere.
How long does the session take? +
As long as it needs to cover the five areas properly. That varies with the size and complexity of the business, and we will let you know what to set aside once we have seen your intake form. It runs online, so there is no travel on either side.
Does this work for a professional firm, not a trade business? +
Yes. The five areas apply to any service business, whether you send teams into the field or run everything from an office. The intake form and the session are shaped around how your business actually operates.
Do I need to be technical? +
No. This is built for owners and directors, not IT teams. Anything technical gets translated into plain terms and what it means for your time, your money and your clients.
Do I need to prepare anything? +
Just the intake form. It helps to have a rough sense of your enquiry volume, your average client or job value and what you spend on software, but if those are not to hand we will work them out together.
Will you just try to sell me AI? +
No. We are genuine advocates for AI and it is still not always the right fix. We diagnose first and prescribe second, whether that turns out to be AI, a better system, or a simpler process.
What if the review does not help my business? +
If by the end of the session you do not feel we have uncovered real opportunities, say so before we wrap up and we will refund the $997 on the spot. No blueprint follows, we simply part ways.
What happens to the $997 if I move forward? +
It comes off the cost of whatever we build together. You never pay for the review twice.
